Overview

The Online Admission module allows prospective students to apply for admission through the school website. Administrators can review applications, manage seats, and convert applicants to enrolled students.

Accessing Online Admission

  • Log in as Administrator
  • Navigate to Online Admission
  • View dashboard

    Admission Forms

    Creating Form Fields

  • Go to Form Fields
  • Add fields:
  • - Student Details - Name, DOB, gender - Parent Details - Name, contact, occupation - Address - Communication address - Previous School - Transfer details (if applicable) - Documents - Required uploads
  • Configure:
  • - Field type (text, dropdown, file, etc.) - Required/optional - Validation rules

    Default Fields

    System provides common fields:

    • Student first name
    • Student last name
    • Date of birth
    • Gender
    • Class applying for
    • Parent name
    • Contact number
    • Email
  • Address

    Class/Seat Management

    Managing Seats

  • Go to Classes
  • For each class:
  • - Total Seats - Available capacity - Reserved Seats - Reserved categories - Filled Seats - Already filled - Available Seats - Remaining

    Admission Status

    Track per class:

    • Open for admission
    • Seats full
  • Closed
  • ---

    Application Process

    For Applicants

    • Visit school website
    • Go to Admissions page
    • Click Apply Now
    • Fill application form
    • Upload required documents
    • Submit application
    • Receive confirmation
  • Track status online

    Configure required uploads:

    • Photo
    • Birth certificate
    • Previous marksheet
    • Transfer certificate
  • ID proof (parents)

  • Go to Applications
  • View all with:
  • - Applicant name - Class applied - Date applied - Status

    Review Process

    • Open application
    • View all details
    • Check documents
    • View entrance test (if applicable)
  • Make decision
  • Shortlisting

    • Select applications
    • Mark as Shortlisted
    • Schedule entrance test/interview
  • Notify applicants
  • Selection

    • After evaluation
    • Mark as Selected
    • Send offer letter
  • Ask to complete admission

    Creating Test

  • Go to Entrance Test
  • Add test:
  • - Class - Date and time - Syllabus - Marks criteria

    Test Results

    • Enter marks
    • System calculates
    • Generate result
  • Send to applicants

    Converting to Student

    Enroll Selected Applicant

    • Find selected application
  • Click Enroll
    • System creates student profile
    • Assign to class
  • Generate student ID
  • Data Transfer

    System transfers:

    • Application data → Student profile
    • Documents → Student file
  • Parent details → Guardian profile
