The Transport Management module handles school buses and vehicles: managing routes, tracking vehicles, assigning students, and monitoring transport usage.

Accessing Transport Management

• Log in as Administrator

Navigate to Transport → Dashboard

View transport overview

Routes Management

Creating Routes

Go to Routes → Add Route

Enter:

- Route Name - e.g., "Route 1 - North" - Start Point - Starting location - End Point - Destination (school) - Via - Major stops - Distance - Total km - Estimated Time - Duration

Save route

Managing Stops

Add stops along route:

• Edit route

Add stops:

- Stop name - Arrival time - Pickup students assigned

Save stops in order

Vehicles

Adding Vehicles

Go to Vehicles → Add Vehicle

Enter:

- Vehicle Number - License plate - Vehicle Type - Bus, Van, etc. - Model - Make and model - Capacity - Seating capacity - Insurance Expiry - Renewal date - Permit Expiry - Permit validity - Driver - Assigned driver

Save vehicle

Vehicle Status

Track vehicle availability:

Available - Ready for assignment

In Transit - Currently on route

Under Maintenance - Not available

Out of Service - Temporarily unavailable

Drivers

Managing Drivers

Go to Drivers

Add driver details:

- Name - License number - Phone number - Address - Emergency contact

Driver Assignment

Assign drivers to vehicles:

• Edit vehicle

• Select driver

Save

Students

Assigning to Transport

Go to Students

• Search for student

Edit transport details:

- Route - Stop - Pickup/Drop-off

Save

Bulk Assignment

Assign multiple students:

• Select class

• Choose route and stop

Assign to selected students

View Allocations

View all students using transport:

Go to Allocations

View:

- Route-wise - Stop-wise - Vehicle-wise

Setting Transport Fees

Go to Fees

Create transport fee types:

- Monthly - Quarterly - Annual

Set fees by:

- Distance - Route - Stop

Assign to students

Fee Collection

Transport fees work like other fees:

• Assign fees to students

• Collect payments

Trip Tracking

Track daily trips:

Go to Trips

Start trip:

- Select vehicle - Select route - Start time

Complete trip:

- End time - KM traveled - Notes

GPS Integration

If GPS enabled:

• Track real-time location

• View route on map

Get arrival estimates

Route-wise Report - Students per route

Vehicle Report - Utilization

Stop Report - Students per stop

Fee Report - Transport fees collected

Generate Reports

• Select report

• Set filters

• Bus arrival at stop

Configure in notification settings.

Vehicle Maintenance

Track maintenance:

Go to Maintenance

Log:

- Service date - Type of service - Cost - Next due date

Get reminders for:

- Insurance renewal - Permit renewal - Regular service

Troubleshooting

Problem: Student not appearing in assignment

Solution: Verify student is enrolled; check class/section
